This policy explains how Southside Star Youth FC ("the club", "we", "us") collects and uses personal information, and the rights you have. We're committed to protecting the privacy of everyone involved with the club, and especially the children who play for us.

Who we are

Southside Star Youth FC is a grassroots youth football club based in Cheltenham. For the purposes of UK data protection law, the club is the data controller for the personal information described here. You can reach us at contact [at] southsideyouthfc [dot] co [dot] uk .

The information we collect

We collect only what we need to run the club safely and well, including:

  • Player details: name, date of birth, age group and relevant medical or welfare information
  • Parent and carer details: name, email address, phone number and emergency contacts
  • Registration and payment information, handled through our registration platform (Spond)
  • Enquiry and volunteer information you send us
  • Photographs and video of matches and training, used only in line with our Photo, Video and Social Media Policy
  • Safeguarding records where a concern is raised

Children's information

Because we work with children, most of the information we hold relates to under 18s. We collect and use it with the involvement and consent of a parent or carer, who registers on their child's behalf. We treat children's information with particular care and only share it where it's necessary to keep a child safe or to let them play.

How and why we use it

We use personal information to:

  • Register children, organise teams and run training and matches
  • Communicate with parents and carers about the club
  • Keep children safe and meet our safeguarding responsibilities
  • Administer subscriptions and payments
  • Respond to enquiries and manage volunteers

Our lawful bases are consent (for example, photography), our legitimate interests in running the club, and, for safeguarding, our legal obligations and the protection of children.

Who we share it with

We don't sell personal information. We share it only where needed, for example with the relevant County Football Association and the leagues we play in, with our registration platform (Spond), and with coaches and managers on a need-to-know basis. Where safeguarding requires it, we may share information with the police or children's services.

How long we keep it

We keep personal information only for as long as needed for the purpose it was collected, generally for the period a child is with the club and a reasonable time afterwards. Safeguarding records are kept in line with statutory guidance.

Keeping it secure

We take reasonable steps to protect personal information and limit access to those who need it to carry out their role at the club.

Your rights

Under UK GDPR you have the right to:

  • Ask for a copy of the information we hold about you
  • Ask us to correct information that's wrong
  • Ask us to delete information, where we're able to
  • Object to or restrict how we use it
  • Withdraw consent at any time, where we rely on it
